Questions and answers

Frequently asked questions about HR for your German subsidiary

Answers to the questions international companies ask us most often: about services, getting started, working together, costs and data protection.

The basics

What does AdminDock HR do for international subsidiaries?

We take care of HR for your German entity: from setting things up when the company is founded, through day-to-day HR administration and contact with authorities and health insurers, to reporting for your headquarters. We work closely with your tax advisor, legal counsel and payroll provider.

Are you an Employer of Record (EOR)?

No. Your German entity remains the employer, and your employees are employed directly by you. That strengthens their connection to your company and your employer brand. With AdminDock HR, you have a reliable partner at your side who takes care of everything administrative.

What company size is AdminDock HR suited to?

German entities with 1 to 50 employees. Our packages are calculated from 15 employees upwards, so even small teams get the full expertise of an HR department from day one.

Do you also handle recruiting?

Yes. In the Standard package and the Recruiting Core module we handle job postings, candidate communication, pre-selection and interview coordination. For growth phases there is the Recruiting Plus module.

Getting started

We are setting up a GmbH in Germany. When can you start supporting us?

Right from the founding stage. We set up the HR side of your entity before the first person is hired: registrations, contract templates, personnel files, the interface to payroll and the reporting for your headquarters.

Which registrations does our entity need before the first hire?

Among other things, your entity needs a tax number for wage tax, an employer number (Betriebsnummer) from the Federal Employment Agency and registration with the statutory accident insurance association (Berufsgenossenschaft). Once people are hired, notifications to the health insurers and retrieval of the employees’ tax data follow. We take care of these steps and align them with your tax advisor.

How quickly can you start?

Straight after the contract is signed. We work with your existing systems or build the right structure together with you.

Working together

Which language do you work in?

With you and your headquarters in English or German, whichever you prefer. With authorities, health insurers and the accident insurance association, we communicate in German on your behalf.

Do you work across Germany?

Yes. We support entities all over Germany, digitally and with named contacts.

How do employees reach you, and what response times apply?

Via our ticket system, by video call or by phone. Every request is assigned one of four priority levels: P1 (critical, e.g. serious payroll relevance) with a response within 4 hours and resolution within 1 business day, P2 (high, e.g. urgent recruiting matters) with a response within 1 business day and completion within 2 business days, P3 (normal, administrative matters) with a response within 2 business days and completion within 5 business days, and P4 (low, master and transactional data entry) with a response within 3 business days and completion by arrangement. Prioritisation is carried out by AdminDock HR based on the matter at hand.

Do you work with our tax advisor, legal counsel and payroll provider?

Yes, that is a fixed part of our work. We handle the HR side and coordinate with your advisors. Legal and tax advice stays with your advisors or with partners we can introduce. If you wish, we also check the payroll of your existing provider.

Headquarters and costs

Can you report directly to our headquarters?

Yes. In every package your headquarters receives a monthly HR report, in English and in the format your group uses. The Premium package adds dashboards with analysis.

What does it cost, and how long is the contract?

Every engagement starts with a one-time setup from €1,500. After that you pay a fixed monthly fee per employee for your package: €60 for Core, €90 for Standard and €140 for Premium, plus VAT and calculated from 15 employees upwards. Modules add to the packages and are mostly also charged per employee per month, each at its own price. Projects are billed by the hour based on actual effort, with a transparent estimate upfront. The minimum term for packages is six months, after which the engagement can be adjusted or cancelled monthly.

Can the invoice go to our parent company?

Yes. We invoice in whatever way suits your group best, to the German entity or to the parent company, in English or German.

Data protection and systems

How do you protect our employee data?

We work in line with the GDPR and sign a data processing agreement with you. Documents are exchanged via secure upload and download areas in Microsoft 365 or directly through your existing ticket and service system.

Which HR systems do you work with?

We fit into your existing systems, for example SAP HCM, Workday, Personio, HRworks or DATEV. If you don’t have a system yet, we support you with selection, setup and rollout. Licences run through your company.

Didn’t find your question?

We are happy to answer it personally, in English or German.
